JOB SUMMARY:
The Compliance/Grants Coordinator oversees the pre-award and post-award grant/contract management for Second Harvest Food Bank (SHFB) and its programs and agency partners, to include contract execution, grant compliance, reporting and data analysis.
ESSENTIAL FUNCTIONS:
Contract Compliance
- Works with appropriate staff to direct and ensure contract compliance activities for SHFB and its programs and agency partners.
- Works collaboratively with Community Action Lehigh Valley (CALV) Compliance Director to assist with contract review and execution process, which may include approval by relevant personnel, and final approval and signing by authorized signer.
- Maintains files of executed contracts both hard copy and electronic contracts.
- Works with SHFB Planning staff to ensure that current information is transmitted in a timely manner to appropriate SHFB personnel regarding proposals written, proposals funded, contracts received, reporting requirements, etc.
- Develops contract monitoring process, maintains accurate compliance records, and disseminates that to relevant personnel.
- Conducts compliance audits of each SHFB program, agency partner, and any other subcontracted organization, as necessary to meet contractual obligations.
- Works with SHFB Associate Executive Director (AED) and other personnel in external contract compliance audits for SHFB programs.
- Works with appropriate personnel to gather information, analyze and maintain data sets and ensure reports are completed in a timely manner.
- Attends audits with the outside funders as needed.
- Provides compliance training to relevant personnel as needed.
- Maintains a Standard Operating Procedures (SOP) for contract compliance activities.
- Analyzes and implements best practices for contract compliance and grants management.
- Establishes compliance processes for SHFB and agency partners.
Program Planning and Development
- Assists in the development of new SHFB programs and initiatives in collaboration with the AED of SHFB.
- Assists fiscal staff and SHFB AED with the development of the Agency budget.
Fund Development
- Attends monthly planner's meetings to stay abreast of upcoming grant proposals, Agency news, future projects, etc.
- Assists in maintaining funding opportunities and communicating with funders as it pertains to contract compliance.
- Works with the Planning department to maintain and adhere to an accurate and current 12-month calendar of due dates for reports.
- Tracks progress on funding requests.
- Serves as a liaison between planning and development to ensure proper coding and record keeping of grant and donation revenue.
Other
- Identifies areas of compliance risk, remain abreast of changes, activities, and trends.
Communicates with relevant staff concerning policies, procedures, and updates. - Assists fiscal, when necessary, to compile reimbursement requests.
- Provides compliance update reports to Compliance Director as requested or directed.
- Participates in program staff meetings, as necessary.
- Performs other duties as assigned.

COMPEMSATION:
The pay for this position is $26.39 an hour which equates an annual compensation of $54,891
QUALIFICATIONS:
Required Education and Experience
- Bachelor's degree in social sciences or related field required, Master's degree preferred.
- Experience in Non-Profit compliance management preferred.
- Familiarity with grant management specifically government grants for food banks such as Feeding America, State Food Purchasing Program, and The Emergency Food Assistance Program and/or federal contracts such as Community Development Block Grants and Community Service Block Grants.
Additional Requirements
- Proficiency with Microsoft Office Suite required
- Proficiency in extracting relevant information from databases or experience in database management, data manipulation, and report generation preferred.
- Demonstrated ability to manage multiple projects with set deadlines/guidelines.
- Detail oriented; Excellent organizational skills
- Excellent written and oral communication skills
- Personal vehicle or access to independent transportation required
- Valid driver's license and good driving record
- Proof of motor vehicle insurance (for use of personal vehicle)
- PA State Police Criminal background clearance required
- Child Abuse background clearance required
- FBI Fingerprinting background clearance required
